Facility Reservation Requests

  • All requests to reserve Campus Recreation facility spaces and fields must be submitted at least 30 days in advance of the actual reservation date by completing a request form in 25Live. 
  • Requests submitted fewer than 30 days in advance will not be considered.
  • Requests are not approved until a written confirmation from the scheduling team has been received by the requester. 
  • Please allow a minimum of 7 days for processing of your request. Reservation requests are processed during normal business hours only. Requests received outside of normal business hours may have a delayed response. 
  • Please view our rules and regulations for use of facilities/fields before submitting a request.

    Submitting a Reservation Request

    1. Sign in to the 25Live Dashboard, linked below, with your Clemson credentials
    2. Choose Event Form at the top right of your screen and complete the form

    Helpful Tips

    1. In the Event Type box, search 'CR' to populate a list of Campus Recreation event types for you to choose from. These are the only applicable event types for Campus Recreation.
    2. When choosing a location, select 'Recommended Locations' from the Saved Searches (Optional) bar to search for reservable locations.
    3. When choosing resources, select 'Recommended Resources' from the Saved Searches (Optional) bar to search for reservable resources.

  • Summer Camp Reservation Requests

    1. Use our online reservation form, linked below, to submit your request
    2. Choose the event type 'CR Summer Camp'

  • Payments & Cancellations

    Payments

    Groups/organizations will be invoiced for all space usage billing rates and other charges (including staffing, set-up rates, custodial services, security, damage and/or repair costs as applicable as well as any charges resulting from damages to property or equipment), with payment due prior to each event.

    Payments may be made with check or credit/debit card at the Welcome Center desk in Fike Recreation Center during normal business hours (M-F from 8 a.m.-4:30 p.m.), or by mailing a check addressed to Clemson University to:

    Spaces and times of reservations are agreed upon prior to each occurrence; discounts will not be awarded post-event for spaces or time not utilized. The cost of items, space, and time utilized by the group that were not originally reserved will be applied to an invoice. The over or under usage of Campus Recreation resources from the original agreement may alter groups' abilities to make reservations in the future.

    Cancellations

    The Assistant Director of Scheduling is to be informed via email of any reservation cancellation prior to 72 hours from the start of the reservation. There is no charge for cancellation of a reservation prior to this time, however reservations not canceled in this time period will result in the responsible group being charged the full reservation rate, even if the space was initially given to the group for free. Failing to arrive to their reservation without a confirmed cancellation may affect a group's potential to make future reservations.
