Sick Leave Policy

Goal:

To provide sick leave to employees.

Eligibility:

Sick leave shall be earned by and granted to employees in full time equivalent (FTE) or time-limited positions, as well as, 9-month faculty whose standard hours are 20 or greater per week. Employees must be scheduled to work at least one- half of the workweek or the equivalent of one- half of the workweek.

Ineligibility:

Employees who are not eligible to accrue sick leave include those in an FTE or time-limited position whose standard hours are less than 20 or who are not scheduled to work the equivalent of one-half of the workweek. Students and temporary employees are also ineligible for sick leave.

Process:

Employees in either FTE or time-limited positions will utilize the leave system when requesting leave. The employee's department will assist in obtaining the necessary user id and password to access this site.

Scheduling and Usage

Sick leave taken may qualify as Family and Medical Leave Act (FMLA) leave and if so, the FMLA leave will run concurrently with the sick leave. Employees eligible to accrue and use sick leave will submit their sick leave request(s) to their supervisor in a timely manner, enabling the supervisor to properly plan for their absence. For an unforeseen sickness or injury, the employee will contact their supervisor immediately and will be responsible for ensuring that their leave request is submitted as soon as possible to their supervisor.

In qualifying sick leave situations, the employee shall use all sick leave before going into a leave of absence without pay status.

Verification

The use of sick leave shall be subject to verification. Before approving sick leave, the employee’s supervisor may require certification from a health care practitioner confirming the need to use sick leave for specific dates.

Maximum Carryover

An employee may carry over 180 days of sick leave from one calendar year to another. Any sick leave in excess of the 180 days will be deleted from the employees leave balance.

Employees should provide medical certification for any absence greater than 3 days. At this time, employees would be encouraged to consider filing for leave under the Family Medical Leave Act (FMLA). However, a supervisor has the authority to impose on an employee(s) the need to provide medical certification each time sick leave has been taken.
