Grant Personal Leave Policy

Goal:
To provide a paid leave program for employees in temporary grant positions (TGP).
Eligibility:
Temporary grant employees working a minimum of 20 hours a week and at least half of the workdays in the month are eligible to accrue grant personal leave.
Ineligibility:
Employees in temporary grant positions who work fewer than 20 hours a week or fewer than half of the workdays in the month are not eligible to accrue grant personal leave. This policy does not apply to non-temporary grant employees or post-doctoral or 9-month faculty.
Process:
Employees in temporary grant positions earn one and one-half days of grant personal leave per month, for a total of eighteen personal days per year. Eligible part-time employees earn grant personal leave on a pro rata basis. Grant personal days may be used for vacation, sick leave, appointments and personal leave. Upon separation from employment in the eligible grant position, the employee receives a lump-sum payout for up to 54 days of unused grant personal leave.
Maximum Carryover:
Eligible employees may carry over 54 days of grant personal leave from one calendar year to another. Grant personal leave in excess of 54 days will be deleted from the employee’s leave balance at the end of the year.
This policy is subject to the following provisos:
- TGP employees are required to use the University leave system to monitor leave (earned and used) and to request leave. The employee's department is responsible for obtaining the necessary user-id and password.
- TGP employees are eligible to observe with pay official University holidays in accordance with Clemson's University Holidays Policy.
- Leave for employees who work simultaneously under two or more grants is charged in proportion to the percentage of time worked under each grant.
- Leave taken in the last month of the project shall be limited to no more than five consecutive workdays.
- Grant personal leave cannot be transferred to another state agency when an employee separates from employment with Clemson University.
- All personal days for grants of less than a calendar year in duration must be used within the period of active employment under the grant in proportion to the leave earned on the specific grant(s).
- Covered employees begin accruing grant personal leave in the month in which they work a minimum of half the workdays in a month.
- Except for unanticipated sick leave, all personal leave requests must be approved in advance by the supervisor.
- The department and/or principal investigator for each grant are responsible for maintaining auditable records, by grant, of time earned and used.
