Scheduling Compliance Guidelines
The scheduling compliance guidelines ensure course offerings are scheduled in a manner that permits access to the most students, supports the instructional needs of the faculty in all departments and maximizes the efficient use of University classroom space.
Scheduling Compliance Dashboard
Compliance Dashboard
The Scheduling Compliance dashboard identifies the compliance status for each department using percentages allowed based on department size to ensure classroom efficiency.
Dashboard User Guide
The Scheduling Compliance dashboard user guide provides definitions and explanations for tabs, filters and sorting and demonstrates how, when and why to use the compliance dashboard.
Dashboard Course Tab Help
Information to guide users through navigating the Course Tab in the Scheduling Compliance Dashboard — changing the status of a course and creating a saved view for the dashboard.
Scheduling Standards
Classes needing a University (Registrar-scheduled) classroom will be held to the following standards:
- Departments must have start and end dates within the Fall, Spring or Summer semester dates. To review these dates, visit the Academic Calendar.
- Departments will evenly distribute all courses over all five days of the week and throughout the day following the guidelines below and will abide by the standard meeting times approved by the University — specifically those designated as prime time. Prime times can be found highlighted in gray and outlined within the Standard Meeting Time Blocks.
-
Standard for Large Departments
Large departments are those who, for purposes of compliance, offer 15 or more classes in regular university classrooms:
- No more than 15% of courses may be offered in any prime-time meeting block.
- No more than 65% of courses may be offered during prime time.
- Percentages may be rounded up depending on the number of class offerings.
-
Standard for Small Departments
Small departments are those who, for purposes of compliance, offer 14 or fewer classes in regular university classrooms:
- No more than two courses may be offered in any prime-time meeting block.
- No more than 60% of courses may be offered during prime time.
- Percentages may be rounded up depending on the number of class offerings.
-
Standard for One Credit Hour Courses
One credit hour courses OR courses that will meet for more than two hours at a given time must be scheduled so that no more than one prime-time meeting block is used.
-
Requirement for All Departments
All departments must have met the prime and non-prime distribution requirements no later than three weeks prior to mass room scheduling. Departments should utilize the Schedule Compliance Dashboard once the schedule building process begins each semester to monitor compliance with these requirements. NOTE: All sections scheduled in or requiring a university-owned classroom will be factored into compliance percentages.
- University Room Scheduling Process
- Departments in compliance will be given priority in room scheduling. Sections are reviewed each term.
- Room Coordinators may begin entering events in 25Live during the exam week of the immediate preceding term, e.g.,
- Spring events — Fall Final Exam Week
- Summer events — Spring Final Exam Week
- Fall Events — Summer Final Exam Week
- Course sections not requiring a University-owned classroom must have one of the following options in the building and room fields so the mass room scheduling process will skip them:
- NO Room — use if no room will be needed
- Online Course — use for all online courses
- Department Classroom — if one is available to you
- Course sections without a specified building and room will be assigned a University classroom during the mass room scheduling process.
- Ensure max capacities are set appropriately on SSASECT and must be greater than zero.
- Registration Coordinators must follow all room scheduling deadlines as noted on the Schedule Building Timeline. All sections should follow a standard meeting time pattern. If they cannot, justification must be sent to the Scheduling Team. To receive approved ADA accommodations, a Request for Reasonable Accommodation must be submitted to the Office of Access Compliance and Education.
Request Reasonable Accommodation
After the first full week of classes each term, any remaining classroom space becomes available for events and non-course offerings. To schedule a room, please use 25Live to submit an event request to the appropriate Room Coordinator. You can locate that information on the details tab for that specific room.
Questions regarding these Scheduling Compliance Guidelines should be directed to the academic scheduling team in the Office of Registration Services at acadsched@clemson.edu.
